Getting started with the free version

Doodle offers several pricing tiers, but for most church leaders and teams, the free version is more than sufficient. To get started, simply create a free account at doodle.com. Note that the free version includes ads, which can be a minor distraction - though they do not interfere with the scheduling process itself. To remove ads, an upgrade to a paid plan is required. With a free account, you can include up to 10 date options per poll. That said, offering fewer options often leads to quicker responses.

Setting up your poll

Once you are logged in, creating a poll is straightforward. Here is a quick walkthrough of each field:

Title. Give your meeting a clear, descriptive title - just enough for recipients to understand the purpose without needing to send follow-up emails for clarification.

Description. Use this field to share additional details such as an agenda, instructions, or other relevant information.

Location. This field is optional. You may prefer to add location details once the meeting time is confirmed. It is also a good place to note if the meeting is intended to be virtual.

Video conferencing. This option defaults to 'Off' and does not need to be changed for most users. Integrations with Zoom, Teams, or Webex require a paid upgrade, and most teams will handle those platforms separately anyway.

Duration. Choose how long the meeting will be: 15, 30, 60, 90, or 120 minutes. An all-day option is also available if needed.

Date and time. Select your preferred options from the calendar with a simple click. The time slot will automatically reflect the duration you chose. Remember, free accounts are limited to 10 date selections per poll.

Sharing and collecting responses

When you are ready, click 'Create and Share.' Doodle will generate a link that you can copy and paste into an email to your invitees. As responses come in, Doodle captures the data and presents it in a bar graph, clearly highlighting the date and time with the most availability. From there, you can send a confirmation email with the final date, time, and location. The entire process can shave days - or weeks - off your scheduling timeline.
